How to Keep Business Expense Records
A simple system for keeping receipts, expense details and business spending history organised and easier to review.
Good expense records do not have to mean boxes of paper or complicated bookkeeping software.
The goal is to keep enough reliable information that you can understand what the business spent and find the supporting details when you need them.
Record the transaction itself
- Date
- Amount
- What was purchased
- Who was paid
- Expense category
- Payment method where useful
Keep supporting documents where available
Receipts, supplier invoices and other supporting documents can provide useful evidence of what a transaction was for. Digital copies or clear photographs can be easier to organise than loose paper.
Create a consistent routine
A simple system used every day is usually better than a sophisticated system updated once every few months. Record expenses when they happen or set a regular time each week to catch up.
Avoid relying only on bank statements
A bank statement tells you that money moved, but the transaction description may not explain what was purchased or why. Add enough detail to make the expense understandable later.
Review records by month and category
Organised records make it easier to compare spending over time. If one category suddenly increases, you can investigate rather than discovering the problem months later.
How long should you keep records?
Record-retention requirements can depend on the type of business, document and applicable Nigerian rules. If you need records for tax, regulatory or formal accounting purposes, confirm the current requirements with the relevant authority or a qualified professional rather than relying on a general guide.
Keep your expenses alongside the rest of your business records instead of piecing everything together later.
