How to Track Business Expenses in Nigeria
A simple way for Nigerian small businesses to record spending, organise expenses and understand where their money is going.
Tracking business expenses simply means keeping a reliable record of the money leaving your business — what you spent, how much you spent, when you spent it and what the money was for.
You do not need a complicated accounting system to start. For many small businesses, the biggest improvement is simply moving away from scattered receipts, bank alerts, WhatsApp messages and memory.
1. Record every business expense
Start by recording expenses as they happen rather than trying to reconstruct an entire month later. Small costs are particularly easy to forget, but together they can materially affect how much money the business actually keeps.
- Date of the expense
- What you paid for
- Amount spent
- How you paid
- Supplier or person you paid
- Expense category
2. Separate business spending from personal spending
If business and personal spending are mixed together, understanding the true performance of the business becomes much harder. Even if you cannot open a separate business account immediately, record business transactions separately from personal ones.
3. Put expenses into useful categories
Categories make your records easier to understand. Instead of seeing one long list of transactions, you can see how much the business spends on areas such as stock, transport, marketing, rent, utilities or delivery.
4. Keep evidence of important purchases
Where possible, keep the receipt, invoice or other supporting record for a business purchase. A photo or digital copy can be easier to organise than relying on loose paper receipts.
5. Review your spending regularly
Recording expenses is useful; reviewing them is where the information becomes valuable. A weekly or monthly review can show which costs are increasing and whether your sales are actually leaving enough money behind.
Sales alone do not tell you your profit
A business can have strong sales and still struggle if its costs are too high. Looking at money coming in alongside money going out gives you a much clearer view of how the business is performing.
